  • Payment information: billing details (handled securely by our payment provider – we do not store full card numbers).

  • Service usage: call logs, transcripts, AI conversation data, scripts you provide, analytics (e.g., call times, outcomes).

  • Caller information (processed for you): voice/call content from calls to your Maci numbers – we process this on your behalf.

  • Technical data: IP address, browser/device type, cookies (for site functionality and basic analytics).

We only collect what we need to run the service.

 

3. How We Use Your InformationWe use it to:

  • Provide Maci (answer calls, capture leads, book appointments, create reports).

  • Manage your account, send bills, and provide support.

  • Improve the AI and service (using anonymised/non-personal data).

  • Send important updates or service messages (you can opt out of marketing emails).

  • Meet legal requirements.

4. Sharing Your InformationWe share information only when necessary:

  • With trusted service providers (e.g., cloud hosting, payment processors) who must keep it secure.

  • If required by law or to protect our rights/safety.

  • In the event of a business sale/transfer (we will notify you if possible).

We do not sell your personal information.

 

5. Call Recordings & AI Voice Data

  • Calls may be recorded for quality checking, training the AI, and analytics.

  • An automated message may play (e.g. “This call is handled by AI and may be recorded”).

  • You are responsible for following New Zealand laws on call recording and getting any consents needed from callers.

6. Storage & Security

  • Data is stored securely in servers (mainly in New Zealand or Australia where possible).

  • We use encryption, access controls, and other reasonable security measures.

  • We keep data only as long as needed for the service or legal reasons (e.g., financial records for 7 years). After that, we delete or anonymise it.

7. Your RightsUnder the Privacy Act 2020, you can:

  • Ask to see or correct your personal information.

  • Ask us to delete it (subject to legal exceptions).

  • Withdraw consent (this may limit how you can use the service).

  • Make a complaint to us or the Office of the Privacy Commissioner (privacy.org.nz).
